ADMINISTRATION & SET UP
Hello and welcome back to your onboarding adventure! Before we do anything else in the software, let’s get our ducks in a row. The administrative foundation of your software will be paramount for your success in using it - I’m calling this section,
How do I set this thing up?
Let’s walk through the Administration section of the software. In the upper righthand corner of the screen, find your name and the drop down karat next to it. Open the drop down list and choose Administration. An important note - if you are not an Account Admin or Account Owner, you will not have access to this part of the process. If that's the case, feel free to skip this section of the onboarding, but MAKE SURE SOMEONE AT YOUR COMPANY DOES IT.
On the Administration page, there are three tabs. User Management, Folder Management, and Company Settings. We will walk through each tab together.
USER MANAGEMENT
It's decision making time!
There are two approaches to user access:

The decision is yours to make! Once you’ve made that choice, you should begin creating users in your software.
FOLDER ADMINISTRATION
It's decision making time!
You’ll need to decide how you want to structure your folder tree. You have a few options, but I’ll talk about the two most common:
- Stick with Out-of-the-Box
- This means placing candidate data in the candidates folder, employee data in the employee folder, and position data in the positions folder.
- Pros: ease of use - no new folders need to be created, and the folder tree remains streamlined. You know exactly where something should be based on the type of data it is.
- Cons: a little less control over access - it’s all or nothing for most roles.
- This means placing candidate data in the candidates folder, employee data in the employee folder, and position data in the positions folder.
- Break Down by Team/Department
- The second option is to add folders that are broken out by a certain descriptor. Maybe your organization has multiple different locations and you only want the employees at each location to have access to the other people at the same location. Maybe you only want your employees to see people in their own department, so you want to build out a folder for each department.
- Pros: a higher level of control over access to information;
- Cons: a much higher requirement of upkeep for granting access to specific folders for certain users, (e.g. a recruiter who isn’t an administrator but sends and reviews results for all departments would need to be granted access to all those folders); employees also wouldn’t be able to learn about their colleagues on different teams or in different locations this way.
- The second option is to add folders that are broken out by a certain descriptor. Maybe your organization has multiple different locations and you only want the employees at each location to have access to the other people at the same location. Maybe you only want your employees to see people in their own department, so you want to build out a folder for each department.
The decision is yours to make! Once you’ve decided on an approach to folders, create any new folders you’d like, and be sure to grant access to those who need access to each folder.
Pro Tip: Pop a few reminders on your calendar to do some administrative clean up each quarter to make sure this information is up-to-date.
COMPANY SETTINGS
The final tab we will review is the Company Settings tab. This tab houses a ton of settings for the way your software works, and honestly, you may never touch this tab. Let’s explore each section anyway.
Pro Tip: if you know you will be anonymizing data on a regular basis, it may be worth using the “Other” person type as a means of making that process easier.

- If you’re an Account Admin or Account Owner, try creating a new folder and granting access for yourself (You won’t typically need to do this for yourself, since Admins and Owners already have access to everything, but this is practice for when you start adding new users to your software!)
- Once you’re ready, start adding new users
